Junior High School Principal's Receptionist/Registrar

Hours:  7:30 a.m. - 4:00 p.m.                        Days in Service:     187    


The following duties are to be preformed by the Junior High School Principal's Receptionist::

·         Arrive by 7:40 a.m. to receive student return notes and generate back-to-school passes 

·         Answer all incoming calls using professional and helpful etiquette

·         Take and deliver all messages & correspondence, dictation, including e-mail for Junior High School Office and the principal maintaining confidentiality

·         Greet and/or direct all guests at front window

·         Maintain New Student Folders with all documentation and forms to facilitate student check-in procedures

·         Make sure all paper work is filled out for new students at reception desk before new students see counselor.  Collect all signatures and documentation for permanent folder from parents during initial check-in. (See Cumulative Folder Checklist)

·         Provide new student/parent with Student Handbook and Special Programs information

·         Copy/Send/Process "request for records"

·         Maintain student permanent records (See Cumulative Folder Checklist)

·         Maintain a separate set of Annual Folders for Discipline, Tardy Slips, Parental & Doctor Notes for Absences, Notice of Concerns, and Attendance

·         Maintain accurate “tardy” information and distribute to all teachers via daily e-mail. Inform principal of any necessary discipline with excessive tardies.

·         Maintain the period-by-period attendance log and tardies log.  Give attendance log to Junior High PEIMS Clerk by 10:00 a.m. the following day for data entry

·         Contact all parents of absent students by 2nd period on the date of absence.  Act as a concerned and professional liaison between parent and district for student attendance, tardies, and discipline by keeping parents alert to potential problems.

·         Maintain Activity Fund Account by making deposits and balancing the account

·         Maintain office supplies for school office & campus and appropriate PO records

·         Maintain records of textbooks & book room

·         Notify faculty of meetings, communications, and agendas

·         Maintain Parental & Doctor Notes and give to PEIMS clerk to apply to PEIMS codes

·         Assist the PEIMS Clerk in complying with the Attendance & Leaver Policy and PEIMS records for:

  • New students

  • Accurate data

  • Grade verification

  • Special Education & Special Programs

  • Leaver Data & Attendance

·         Mail out parental notifications & newsletters

·         Maintain school activity calendar

·         Maintain Bus & Maintenance Requests

·         Other duties as Assigned by principal

The Junior High School Receptionist will receive from the Junior High School Principal a yearly evaluation based upon these duties.  The Receptionist may be asked to perform other duties as necessary.  These other duties will be taken into consideration at time of evaluation.
